The Japan Foundation is an organization promoting cultural exchange between Japan and other countries in order to advance international mutual understanding. The Japan Foundation, Toronto is one of 25 overseas offices, offering programs grouped under three main areas: Japanese Language Education, Japanese Studies and Intellectual Exchange, and Arts and Cultural Exchange.

This opening is for a full-time Administrative Assistant / Volunteer Coordinator. This position is responsible for assisting with administrative work in the organization, and also for coordinating volunteer activities in support of JFT’s events and programs.

RESPONSIBILITIES

Administrative Support:
Database maintenance
Receiving, distributing and sending mail and couriered items
Answering the main telephone line, responding to inquiries and transferring calls
Designing and sending mass emails
Assisting with vendor administration
Ordering and inventory management of office supplies
Assisting with compilation of reports on JFT activities
Assisting with installation and dismantling of exhibitions and events at JFT
Coordination and maintenance of RSVP system and RSVP reporting
Assisting with events and projects as needed
Other duties as requested by Directors or Program Officers

Volunteer Coordination:
Recruiting, training and scheduling volunteers
Maintaining consistent and clear communication with volunteers
Directing volunteers during events and projects, in coordination with other JFT staff

REQUIRED QUALIFICATIONS

Completion of post-secondary education
English language: Professional level oral, reading, writing skills
Japanese language: Professional level oral and reading, intermediate writing, desired
Ability to work as part of a team and to assist as required with administrative tasks
Strong organizational and time management skills
Flexibility to work evenings and weekends, as required
Legal working status in Canada
Professional proficiency with MS Office suite

DESIRED QUALIFICATIONS

Experience in office administration
Experience coordinating volunteers
Proficiency with various software and databases (e.g. FileMaker, Constant Contact)
Experience working in a Japanese organization
Knowledge of local Japanese community
HOURS

Monday – Wednesday and Friday, 9:30 am – 5:30 pm
Thursdays, 10:45 a.m. – 6:45 p.m.
One hour unpaid lunch break daily

WAGE

$15.75 per hour including 4% vacation pay
Paid on the 15th and last day of each month
Overtime is paid in excess of 44 hours/week
Canadian Statutory Holidays are paid
No paid sick leave

The public lending library has approximately 20,000 Japan-related print and audio-visual materials in its collection. The Japan Foundation, Toronto’s activities cover not only those events held in our centre, but also at other venues across Toronto and Canada. A large portion of The Japan Foundation, Toronto’s activities also involves the administration of its grant programs.
